What you need

  • An Android phone that belongs to you or that your company has given you. The phone is protected with a passcode, fingerprint or face recognition.
  • Your business email address and password, both provided by your IT team.
  • Two-factor sign-in with the Microsoft Authenticator app is already set up on the phone.
  • An internet connection via Wi-Fi or mobile data.
  1. Step 1: Install the Outlook app

Open the Play Store and search for «Microsoft Outlook».

Install the app from Microsoft Corporation. You can recognise it by the blue icon with a white O and an envelope. The app is free of charge.

Note: Only set up your business email account on devices that belong to you or that your company has given you.

  2. Step 2: Add an account

Open the Outlook app and tap «Add Account».

  3. Step 3: Enter your email address

Enter your business email address and tap «Continue».

If the app suggests another account it has found on the phone, skip the suggestion and type in your business address yourself.

  4. Step 4: Enter your password

Enter your password and tap «Sign In».

  5. Step 5: Confirm the sign-in in the Authenticator app

A two-digit number appears on the screen. At the same time the Authenticator app opens or you receive a notification.

Enter the number in the Authenticator app and approve the request. If the phone also asks for your fingerprint, face or passcode, confirm this as well.

  6. Step 6: Allow notifications

If Android asks whether Outlook may send you notifications, choose «Allow».

This way you know immediately when a new email arrives.

  7. Step 7: Complete the setup

When asked whether you want to add another account, tap «Maybe Later».

The app now shows your mailbox. The first time, it can take a few minutes until all emails have loaded. Whatever you read, answer or delete in the app is also visible in webmail and on your computer.

Frequently asked questions

Can I also use the account in the Gmail app?
Yes. In the Gmail app, tap the three lines at the top left, then «Settings» at the very bottom and «Add account». Choose «Exchange and Office 365», enter your email address and sign in. Calendar and contacts work together better in the Outlook app, however, which makes it the better choice.
Does it also work with the Samsung Email app?
Yes. On a Samsung phone, open the Email app, add a new account and choose the Microsoft 365 option. Then sign in with your email address and password. Here too the Outlook app is recommended, because shared mailboxes only work properly there.
No notification arrives on the phone when I sign in.
Open the Authenticator app manually. The request then usually appears directly in the app. Also check that the phone is connected to the internet.
Emails no longer arrive on the phone.
Open the Outlook app manually and check that the phone is connected to the internet. In the phone's settings, check that notifications are allowed for Outlook. If this does not help, contact your IT team.
