Make, hold and transfer calls in Microsoft Teams
After these steps you use Microsoft Teams like a phone system: you start calls, put conversations on hold, transfer them to colleagues and forward calls while you are away. The guide applies to the new Microsoft Teams desktop app on Windows and macOS.
- Platform
- Mac & Windows
- Applies to
- New Microsoft Teams (desktop app for Windows and Mac) with Teams Phone
- Time needed
- approx. 10 Min.
- Level
- Beginner
What you need
- Microsoft Teams is installed and you are signed in with your Microsoft 365 account
- A Teams Phone licence with a phone number and permission for external calls. Your IT sets up both.
- A headset, or speakers and a microphone on your computer
-
Step 1: Open Calls
Open Microsoft Teams and click «Calls» in the bar on the left.
The dial pad appears with your call history next to it.

Step 2: Enter a number or name
Type a phone number or the name of a person in your organisation into the dial pad.
Enter external numbers in international format, for example +41 44 000 00 00. For a name, select the right person from the list that appears as you type.

Step 3: Start the call
Click «Call».
Teams connects the call. During the conversation, the controls for hold, transfer and consult are at the top of the call window.
-
Step 4: Put the call on hold
During the conversation, click «Hold» at the top of the call window.
The other party is put on hold. Callers on a regular phone line hear hold music.
Note: «Hold» is not available in a scheduled Teams meeting.

Step 5: Resume the conversation
Click «Resume» to continue the call on hold.
You can have up to three calls on hold at the same time. Only one is ever active.
-
Step 6: Open the transfer
During the conversation, click «Transfer» in the call controls.
Use this route when you want to pass the call directly to another person without checking first.
-
Step 7: Transfer the call directly
Select one of the suggested contacts, or type the name or number of the recipient and select the result.
Click «Transfer». The call goes straight to the selected person.
The arrow next to the button lets you send the call directly to the person's voicemail or to one of their other numbers instead.

Step 8: Consult before transferring
During the conversation, click «Consult» in the call controls if you want to check with the recipient first.
Select the person and click «Start a call». The other party is put on hold in the meantime.
For a quick question by message, choose «Open chat» instead.

Step 9: Complete the transfer
Click «Transfer» as soon as the recipient has agreed. The waiting call is then passed to them.
If the person cannot take the call, end the consultation and return to the first call with «Resume».
Note: Consulting with «Consult» works in the desktop and mobile apps, not in Teams on the web.
-
Step 10: Open the call settings
Settings and moreSettingsCalls
At the top, next to your profile picture, click «Settings and more» (the three dots).
Select «Settings» and click «Calls» in the left-hand column.

Step 11: Set up call forwarding
Under «Call handling and forwarding», choose where incoming calls should go. The options are voicemail, another number such as your mobile, a specific person, a call group or your delegates.
Alternatively, have calls ring you and a second number at the same time.
The change takes effect immediately. The current status is also shown at the bottom of «Calls», for example «Don't forward». From there you can switch forwarding off again with one click.
