Set up a Microsoft 365 account in Outlook for Mac

After these steps your Microsoft 365 mailbox is set up in Outlook for Mac, and emails, calendar and contacts are synchronised automatically. The guide applies to the current Outlook for Mac from Microsoft 365.

What you need

  • A Mac with Outlook. The full version of Outlook for Mac is only included if your Microsoft 365 subscription covers the Office apps. If in doubt, ask your IT team.
  • Your business email address and password.
  • Two-factor sign-in with the Microsoft Authenticator app is set up, see the guide to signing in to Microsoft 365 for the first time.
  • Your smartphone with the Authenticator app close at hand.

  1. Step 1: Open Outlook

    Click the Outlook icon in the Dock or in the «Applications» folder.

    If Outlook is not installed, download it free of charge from the App Store. Search for Microsoft Outlook there.

  2. Step 2: Add the account

    OutlookSettings…Accounts+Add Account

    On first launch, click the start button in the welcome window.

    If another account is already set up, click «Outlook» in the menu bar and then «Settings…». Choose «Accounts», click the plus sign at the bottom left and choose «Add Account».

  3. Step 3: Enter your email address

    Enter your business email address and click «Continue».

  4. Step 4: Enter your password

    Enter your password and click «Sign in».

  5. Step 5: Confirm the sign-in with Authenticator

    A two-digit number appears on the screen. At the same time a notification from the Authenticator app arrives on your smartphone.

    Tap the notification, enter the number and confirm.

  6. Step 6: Finish the setup

    Click «Done».

    Outlook now downloads your emails, appointments and contacts. The first time, this can take a few minutes.

Frequently asked questions

Can I also use the account in Apple Mail?
Yes. In Mail, choose «Mail» in the menu bar, then «Add Account», and select «Microsoft Exchange». For emails, calendar and contacts working together, Outlook is the better choice.
Outlook keeps asking for my password.
Quit Outlook completely and open it again. Sign in when Outlook asks you to and confirm with the Authenticator app. If that does not help, contact your IT team.
My subscription does not include Outlook for Mac. How do I get to my emails?
Outlook on the web in the browser at outlook.office.com and the Outlook app on your smartphone are always available to you.
